Most privacy policies are written to be unreadable. This one isn't. If anything here is unclear, email us and we'll explain it properly.
Who we are
Solace is run by Long White Cloud Ltd, a company registered in England and Wales (company number 15799268), registered office Henge Barn, Pury Hill Business Park, Alderton Road, Towcester, Northamptonshire, England, NN12 7LS.
Long White Cloud Ltd is the data controller for the personal data described on this page. Lavall Chichester is a co-founder of Solace and accesses this data on behalf of, and under the direction of, Long White Cloud Ltd.

What we collect
Two things. That's the whole list.
The waitlist form. Your name, email address, agency name and team size. You give us these directly. We don't buy lists, scrape them, or add anyone who didn't ask to be added.
Website analytics. We use Fathom Analytics to see how many people visit this site and which pages they read. Fathom processes your IP address and browser user-agent to count you as a visitor, converts that into an anonymised hash, and discards the underlying data within roughly 48 hours. We never see your IP address. There is no way for us — or Fathom — to work out who you are, track you across other websites, or connect today's visit to a future one.
Why we collect it
The waitlist — your consent. When you sign up, we send you a confirmation email. Nothing happens until you click the link in it. That's a deliberate choice: it means we only ever email people who have actively said yes twice. We use your details to tell you when Solace opens, to invite you, and to send occasional updates about the community. Nothing else.
Analytics — legitimate interest. We want to know whether anyone is reading this page and where they came from. That's a legitimate interest in understanding and improving our own website, and because Fathom collects nothing that identifies you, it has no real privacy impact. You can object to this at any time by emailing us.
Cookies and why there's no banner
We don't set cookies. We don't write anything to your browser's storage. We don't fingerprint your device.
There's no cookie banner on this site because there is genuinely nothing to consent to. If your browser sends a Do Not Track signal, Fathom skips the request entirely and you're not counted at all.
Who else touches your data
Kit (formerly ConvertKit) — our email platform. They store your waitlist details and send the emails. Kit is based in the United States.
Fathom Analytics — our website analytics. Fathom is a Canadian company.
Circle — if you're invited to join Solace, the community itself runs on Circle and you'll create an account there directly. That's a separate step with its own signup, and we'll point you to their privacy policy at the time. Nothing happens on Circle at waitlist stage.
Both Kit and Fathom act as our processors under written data processing agreements. They can only use your data to provide the service to us.
Nobody else sees it. We don't sell your data, share it with advertisers, or pass it to other members. There's no upsell funnel behind this — that's rather the point of Solace.
Where your data goes
Kit (United States). Transfers are covered by Kit's data processing agreement and the UK International Data Transfer Addendum, which is the legal mechanism the UK requires for sending personal data to countries without an adequacy decision.
Fathom (Canada). Canada has a UK adequacy decision, meaning the UK government has assessed its data protection standards as equivalent. No additional safeguards are required.
How long we keep it
Waitlist details: 24 months from your last engagement. Engagement means opening one of our emails, clicking a link, or being invited to join. If you go quiet for two years, we delete you. We'd rather have a small list of people who actually want to hear from us than a large one that doesn't.
If you unsubscribe: we remove you. We keep a minimal suppression record — just enough to make sure we never accidentally add you back.
Your consent record: we keep the timestamp and confirmation of your double opt-in for as long as we're relying on it. That's our evidence that you asked to be here.
Analytics: Fathom discards the underlying data within roughly 48 hours. What's left is aggregate numbers that aren't linked to anyone.
Your rights
Under UK GDPR you can ask us to:
- Give you a copy of the data we hold about you
- Correct anything that's wrong
- Delete it entirely
- Stop or restrict what we're doing with it
- Send it to you, or someone else, in a portable format
- Object to processing we're doing on the basis of legitimate interest
You can also withdraw your consent at any time — either by clicking unsubscribe in any email, or by emailing us. Withdrawing consent doesn't undo anything we did before you withdrew it.

If Solace becomes its own company
Solace is currently run through Long White Cloud Ltd. If we set up a separate company for it, or restructure the business, your data may transfer to that new entity. It stays protected on the same terms set out here, and we'll tell you if it happens.
Complaints
If you think we've handled your data badly, tell us first — paddy@findsolace.community — and we'll try to sort it out.
You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
Changes to this policy
If we change anything material, we'll update the date at the top and email anyone on the waitlist. We won't quietly rewrite it and hope nobody notices.
